Job Description

Reception Duties:

  • Responsible for full reception duties such as:
  • Answering calls and properly channeling to concerned employee when necessary
  • Meeting and greeting guests, client, suppliers, and everyone coming to our office for whatever reason
  • Typing memos, correspondence, reports, and others documents
  • Ensuring that front desk area is neat, clean and well organized
  • Urgent scanning for offices
  • Responsible for Office and other Company Assets as:
  • Monthly inventory of office supplies ? this includes inventory of computers, antivirus, Wi-Fi routers, and other company electronic devices
  • Coordinate with other suppliers for water, other supplies with specific supplier and ensure we have enough supplies
  • Ensuring that consumption of supplies do not exceed the yearly budget
  • Coordinate with Finance Department for effective prices to ensure low cost supplies
  • Responsible for safe keeping and proper endorsement or hand-over for the following:
  • Office Keys (company & clients)
  • Company Stamps (clients)
  • Parking Access Card and Building Access Cards (company)
  • Responsible for management of all available meeting rooms as follows:
  • Proper organization of meeting schedule ? coordination with the team
  • Welcoming guest with meeting appointment, settling then in respective assigned meeting room with refreshments
  • Making sure that all tablet, monitors, remotes are in proper working condition at all times
  • Prepares laptop and monitor when necessary for presentation during meetings, including weekly staff meetings
  • Responsible for arranging local and international courier and ensuring that fees are updated and relevant coupons are available at any time.
  • Responsible for coordination with Fit-out Company, and ensure that all physical corner, joints, doors, floors, ceilings, walls, etc. of all offices are well maintain and fixed immediately when require.
  • Ensures that Office Clerk maintains high level of cleanliness, orderliness and neatness in offices includes: toilets, pantries, storage areas, refrigerators and corridors and disposal of garbage every time and watering plants once a week. Ensures all electrical units (A/C, printers, lights, and plugs) are turned off. Remind colleague to maintain everything in proper order and cleanliness.
  • Bookings of restaurants, hotels and air tickets when required
Sales Coordinator Duties:
  • Handle all enquiries coming through the company?s Web Chat, Whatsapp, Telephone and Email channels.
  • Register all leads with all correct information.
  • Qualify the sales leads using appropriate methods.
  • Distribution of leads to the Corporate Service Managers without any bias and as per procedure.
  • Upkeep of daily reports regarding lead distribution and their status.
  • Provide reports related to the sales leads to the Marketing team.
  • Prepare sales proposals, update and maintain them.
  • Prepare Agent agreements.
  • Follow-up, communicate and maintain relation with the Agents.
  • Provide any assistance to the Sales Department.
  • Provides necessary clerical and field assistance to Operations Department.
  • Ensure proper coordination with different departments of the company.
  • Coordination with MD for any Sales related tasks.
  • Provide clerical (paper works, researches, presentation) and field work assistance to various departments when required upon approval of the COO.
  • Ensuring that all procedures and database of Receptionist is updated accordingly.
  • Keep up to date with any relevant information relating to the job description.
  • Conducts any researches may require to ensure Customer Service satisfactory and sales improvement of Bornali Real Estate Management LLC Team in general.
  • Promotes highly positive & efficient team work, coordination and cooperation with the whole team of My Business.
