Job Description

  • Support the smooth running of the office.
  • Manage external visitors to the office: greeting, preparing meeting rooms and videoconferencing services.
  • Minute taking: collate and disseminate all action points in meetings.
  • Manage to an archive of files as required and ensure files are tagged and records kept up to date.
  • Manage general inquiries mailbox, ensuring that all queries are dealt with by the correct department in a timely manner.
  • Man Act as the main office reception line and field calls accordingly.
  • Maintaining office assets and ensuring safe and proper use.
  • Ensuring that internet and telephones are working effectively and liaising with relevant providers.
  • Provide support to General Manager and carry out any other duties required.
  • Provide all the needed sheets (e.g. attendance) to assist HR in appraisal and employees reviews.
  • Confirmation emails summarising travel details for both traveler and local teams/reconfirm airport pick up and security and support groups: conferences, meetings and training as needed.
  • Reporting accounting and filing: update travel tracking, provide monthly travel reports, month-end credit card reconciliation, and back-ups for accounting.
  • Petty cash handling. Reflect on all the needed reports.
  • Any other duties as requested
