Manage external visitors to the office: greeting, preparing meeting rooms and videoconferencing services.
Minute taking: collate and disseminate all action points in meetings.
Manage to an archive of files as required and ensure files are tagged and records kept up to date.
Manage general inquiries mailbox, ensuring that all queries are dealt with by the correct department in a timely manner.
Man Act as the main office reception line and field calls accordingly.
Maintaining office assets and ensuring safe and proper use.
Ensuring that internet and telephones are working effectively and liaising with relevant providers.
Provide support to General Manager and carry out any other duties required.
Provide all the needed sheets (e.g. attendance) to assist HR in appraisal and employees reviews.
Confirmation emails summarising travel details for both traveler and local teams/reconfirm airport pick up and security and support groups: conferences, meetings and training as needed.
Reporting accounting and filing: update travel tracking, provide monthly travel reports, month-end credit card reconciliation, and back-ups for accounting.
Petty cash handling. Reflect on all the needed reports.
