Job Description

descriptionOur client is hiring a highly organized and efficient Executive Assistant (EA) to provide personalized secretarial and administrative support to the Board of Directors (BOD) in a well-organized and timely manner. The EA will ensure that the schedules are effectively managed, communication is streamlined, and administrative tasks are handled efficiently, allowing them to focus on strategic tasks and priorities.˙main tasks:

  • Manage and maintain the BODs diary and email account;
  • Filter emails, highlight urgent correspondence, and draft replies;˙
  • Organize inbound emails into the appropriate folders and action items;
  • Effectively manage all scheduled commitments and related arrangements such as venue booking, transport, guest coordination, etc as required;
  • Conduct weekly diary meetings with the BOD to discuss upcoming engagements, invitations, and other requests;
  • Schedule regular meetings between the BOD and their direct reports, committees and other internal parties as required;
  • Coordinate overseas travel and accommodation requirements;˙
  • Filter general correspondence, queries, phone calls, and invitations to the director by redirecting or taking forward such contact as appropriate;
  • Ensure the director is fully briefed on, or prepared for, any engagements he is involved in;
  • Keep and maintain an accurate record of papers and electronic correspondence on behalf of the director;
  • Prepare correspondence on behalf of the BOD, including the drafting of official letters, company notices, event invitations and greeting cards;
  • Create professional & well-designed PowerPoint presentations as needed;˙
  • Minute general meetings and prepare meeting summaries as required;˙
  • Keep and retrieve files;
  • Ensure guests meeting with the BDOD are well taken care of;
  • Provide a service that is in line with the BOD work habits and preferences;
  • Handle personal tasks for the BOD whenever needed, such as scheduling personal appointments, managing personal correspondence, and coordinating personal events.
