Job Description

Full-time, work-from-office Operations Associate position with Carry My Pet Relocation Services LLC, DubaiRequirement - a full-time experience of around 3-4 years in the logistics/travel industries plus a pet-friendly personalityRole and responsibilities:

  • Support and assist the Operations team in accomplishing business objectives with minimum operational cost via step-wise planning in four steps ? knowledge of products/services, process execution, mandatory & timely updates, and verifying & providing relevant documents
  • Operational process management, operational cost optimization, customer satisfaction, inventory management, valid & timely documentation, compliance with Operations SOP, and providing solutions to clients in case of disputes related to domestic and international pet relocations
1) Documentation:
  • Assist and coordinate international pet relocation as per operational checklist and SOP
  • Ensure mandatory prerequisites like original pet vaccination book, health certificate, titer test, microchipping, etc.
  • Liaisoning required with relevant government departments for Export & Import NOC
  • Verify relevant documents for relocation execution
  • Submission of job file with required information like health document, freight receipt, KYC, Declaration form, acceptance checklist, payment information, etc. to Finance team within 24 hours of relocation execution
2) Planning, Execution, and Inventory Management:
  • Work closely with the Operations Manager and the corporate office Operations team to ensure timely planning of relocation, proper inventory management, and managing relationships with vendors like airlines, transportation, veterinaries, etc.
  • Complete and correct knowledge of all products & services offered - Domestic & International Pet Relocation, Titre Test, Microchipping, Crates, Export & Import NOC, Custom Clearance, etc.
  • Sound understanding of pet breeds, their behavior, and handling technique
  • Ensure understanding of Air Way Bill and other information required for customers
  • Proper understanding of payment modes and freight charges as per crate size
  • Understand the process of successful road, rail, and air transportation and ensure proper and timely documentation for a smooth pet relocation
  • Ensure proper inventory management and timely notify the Operations Manager in case of inadequacy
  • Provide support to the Operations team for planning and operations management (scheduling, travel coordination, expense tracking, and reporting)
  • Ensure compliance with all the legal trends and company policies
  • Assist in troubleshooting problems and issues related to operational activities
3) Client servicing and Pet handling:
  • Ensure proper pet-related arrangements for a successful and cost-effective pet relocation
  • A timely and proper response to clients inquiries and concerns and regular updates in case of any disputes or last-minute changes
  • Timely updates with good photographs to be shared with clients and management
  • Timely communication with the customers to pick up and drop off the pet for relocation-related processes
  • Ensure wearing organization t-shirts, and ID cards at all times during working hours and all relocations and stakeholder interactions
4) Coordination with Internal and External Stakeholders:
  • Vendor Management - Ensure timely and transparent communication with vendors like airport authorities, CHA, transportation agents, veterinary clinics, etc.
  • Coordinate with assigned vendors for transportation/booking vendor/airlines and their quotations
  • Scanning and submission of all documents duly filled as requested by the Finance team and sharing the break-up of expenditure with supporting vendor bills, vouchers, and trip duty slips
  • Smooth coordination within the Operations team and with the other departments for good and proper photographs, videos, documentation, and payables/receivables, during the entire process
  • Coordinate and collaborate with internal and external stakeholders to enable, support, and improve business operations and processes with the goal of enhancing the relocation process, minimizing operational costs, troubleshooting client disputes, and ensuring timely resolution
  • Timely communication with the reporting manager and senior management for any challenges during the relocation process from pick-up to drop
  • Exhibit professionalism at all times by abiding by company policies, providing required documents, good photographs & videos, expense & duty slips, attending meetings, timely response and acknowledging any communication over emails and messages, and updating the concerned stakeholders at all times
