Associate, Office of Undergraduate Medical EducationEntityMedical CollegeLocationKarachi, PakistanIntroductionAga Khan University, chartered in 1983 as Pakistans first private international university, is committed to the provision of education, research, and health care of international standard relevant to Pakistan and the region.Responsibilities You will be responsible to:

  • provide administration support to independently arrange Curriculum Sub-committee meetings that include circulation of agenda, reservation of venue, catering request, meeting setup, transcribing, circulation of minutes, logistics arrangement, and other related matters
  • provide administration and logistics support to arrange meeting of the UGME Special committees (Bench to Bedside module etc.) that include circulation of agenda, reservation of venue, catering request, transcribing of meeting minutes and related matters
  • manage uploading of schedules, groupings of students and evaluation forms on One45 system for MBBS students
  • circulate curriculum announcements via One45 for MBBS Years (1-5)
  • create Microsoft teams and enroll students, faculty and staff for all the sessions of MBBS Years I and II modules and Years III-V workshops
  • assist PBL facilitators during ONLINE and ONSITE session in their respective modules and look after all the logistic arrangement required for the PBL session
  • create student?s groupings on Microsoft teams for the sessions, SP training, TAs training, management of all the sessions, attendance record. Video recording of many clinical cases with the help of AV
  • request concerned department to confirm instructors? availability, prepare individual schedule of instructors for their allocated clinical skills sessions, provide tutor guides and checklists to instructors and upload the checklist, feedback forms and Pre/post-test on VLE for students
  • maintain attendance records, arrange SP and TAs training for each module
  • manage courses on Virtual Learning Environment VLE (Moodle LMS); it includes creation of pre and post questionnaires, session evaluations, uploading related announcements, video recorded lectures and videos for assignment
  • create VLE shells, upload related materials and update grouping of all the teams on MS teams
  • coordinate with NES department to reserve the slots for MBBS students BLS trainings, collect fee slip from students, submit the slips to NES concerned staff and collect booklets, distribute the booklets to students
  • send guide for E-certificate to students after the workshop
  • provide support in the logistics arrangement of Years 1 and 2 Clinical Skills Sessions
  • provide support in the logistics arrangements of Years 1, 2 & 3 Objective Structured & Clinical Examinations (OSCEs) & Year 5 Ensure Competency of Essential Skills (ECOES) examination
  • take minutes of the debriefing sessions of the external examiners at the end of MBBS Years 1 and 2 with dissemination of minutes to all concerned
  • distribute PPEs to Years 1 ? 5 students and maintain receiving record
  • assign daily duties to drivers for Off-campus sites, maintain kilometres record, prepare, and process monthly transport payments, maintain students? attendance record, and inform concerned departments, acquire daily security clearance, look after the departure of all vehicles
  • assist in the orientation session at the beginning of each academic year.
  • enrol fresh cohort in biometrics system in order to mark their attendance during the sessions and assist for troubleshoot.
  • any other task assigned by the Assistant Manager and Manager UGME.
Requirements You Should Have: ÿ
  • a minimum of Bachelor?s degree. Masters would be preferred
  • at least 3-5-years relevant work experience (Administrative work in university would be preferred)
  • excellent writing skills with the ability to sift through the information
  • the ability to demonstrate sound judgment to manage challenging and sensitive situations
  • the capability to meet deadlines
  • strong MS Office skill (Excel, word, Power Point)
  • proficiency in written and verbal English
  • strong communication and interpersonal skill and the ability to build and maintain relationships with a variety of stakeholders
  • Sound knowledge of VLE (MOODLE LMS) and One45 software would be an added advantage
  • Cooperative personality and the ability to get along well with faculty and fellow colleagues
  • flexibility in terms of off-curricular hours or meetings.
