Job Description

Overview:The Management Assistant provides administrative support to management staff within an organization. This role involves a variety of tasks aimed at facilitating smooth operations and efficient communication within the management team.Responsibilities:

  1. Administrative Support: Provide administrative assistance to management staff, including scheduling meetings, managing calendars, making travel arrangements, and preparing documents and presentations.
  2. Communication: Serve as a liaison between management and other departments or external stakeholders. Facilitate communication by answering phone calls, responding to emails, and relaying messages accurately and promptly.
  3. Data Management: Organize and maintain electronic and paper files, ensuring that information is easily accessible and properly documented.
  4. Research: Conduct research as needed on topics relevant to the organization or specific projects, compiling information and summarizing findings for management review.
  5. Event Planning: Assist in planning and coordinating events, such as conferences, workshops, or team-building activities, including logistical arrangements and communication with participants.

  7. Office Management: Oversee office supplies inventory, order supplies as needed, and ensure that office equipment is maintained and operational.
  8. Confidentiality: Maintain confidentiality of sensitive information and exercise discretion in handling confidential documents and communications.
  9. Ad Hoc Tasks: Handle various ad hoc tasks and projects as assigned by management, demonstrating flexibility and willingness to assist wherever needed.
  10. Attending Meetings and Writing MOMs: Attend meetings and write minutes of meetings (MOMs) and distribute them to management members.
  11. Accompanying Management Members on Visits: Accompany management members when needed in visits, and handle tasks related to official entity and bank visits, including arranging paperwork and similar tasks.
