Job Description

The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, sourcing and payments, inventory control, office staff supervision and task delegation.Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitoredGo to person for maintenance, mailing, shipping, supplies, equipment, bills and errandsPartner with HR to maintain office policies as necessaryLead and manage the on-boarding of new employees following the internal process and alignment with the internal immigration team.Manage and monitor the company s Saudization rate with periodic updates to the internal management and highlight any key risks.Lead and manage the off-boarding employees, collect all the company assets and required paperwork for immigration documents.Coordinate with IT department on all office equipmentWorking closely with the controllership and compliance teams to maintain highly controlled environment.Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on timeManage contract and price negotiations with office vendors, service providers and office leaseMakes sure all business and trade Licenses are updated, follow-up official approvals and permits, to prevent unnecessary violations.When needed, represent the company at different offices whether governments or external partners to solve complex situationEstablish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval and staff transfersOrganize and schedule meetings and appointments for the office and the GMEnsure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systemsResponsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the officePerform review and analysis of special projects and keep the management properly informedResponsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may ariseParticipate actively in the planning and execution of company eventsResponsible for developing standards and promoting activities that enhance operational proceduresAllocate available resources to enable successful task performanceCoordinate office staff activities to ensure maximum efficiencyAnalyze and monitor internal processesImplement procedural and policy changes to improve operational efficiencyPrepare operational reports and schedules to ensure efficiencyThis is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.Qualifications Saudi National 7 years of previous office management experience in multinational organization. English & Arabic fluent Communication Skills.
